These Terms of Service govern your use of certifytranslate.org and all services we provide. By visiting our website, submitting a quote request, or completing a purchase, you confirm you have read, understood, and agreed to these terms in full. If you disagree with any part of these terms, please do not use our website or services.
1. Definitions
The following terms are used throughout this agreement:
- "CertifyTranslate," "we," "us," or "our": refers to the operators of certifytranslate.org and its parent entity.
- "You" or "Client": refers to any individual or entity visiting our website, submitting a quote request, or placing an order.
- "Business Day": means any day other than Saturday, Sunday, or a federally recognized holiday in the United States.
- "Standard Document": means any document submitted for translation that does not require significant reproduction of layout, formatting, tables, charts, seals, or logos.
- "Highly-Formatted Document": means any document requiring substantial reproduction of layout or graphic elements, including but not limited to birth certificates, marriage certificates, academic diplomas, academic transcripts, government-issued identification, and other documents containing tables, stamps, seals, or embedded graphics. We determine whether a document qualifies as Highly-Formatted at our reasonable discretion.
- "Work Product": means the completed translated documents, certificates of accuracy, and any other materials we prepare for you under these terms.
- "Order Protection Plan": means the optional add-on service described in Section 7 of these Terms.
2. Eligibility
To use our services, you must be at least 18 years of age and capable of forming legally binding contracts under applicable law. By placing an order, you represent that you meet this requirement. Our services are available to individuals and businesses worldwide, subject to any geographic restrictions noted on our website.
3. Our Services
CertifyTranslate provides certified document translation services, including but not limited to: certified translation, notarized translation, standard translation, same-day delivery, hard copy mailing, and the Order Protection Plan. All services are offered exclusively through our online platform.
We reserve the right to decline any order for any reason, to modify or discontinue any service at any time, and to limit the availability of services to particular geographic regions or document types. If we cancel your order after payment, you will receive a full refund.
We do not accept requests to modify, alter, omit, or add to the meaning or content of the original document being translated. Our services are limited to accurate reproduction and translation of source documents as submitted.
4. Pricing and Page Definitions
All prices are displayed in United States dollars (USD) and are subject to change without prior notice. The price applicable to your order is the price confirmed at the time of checkout.
Pricing is calculated on a per-page basis. A single page is defined as one side of a document containing up to 250 words, using a standard page size (US Letter 8.5 x 11 inches, A4 8.27 x 11 inches, or Legal 8.5 x 14 inches). A document with text on both sides counts as two pages. If the average word count per page exceeds 250 words, we reserve the right to apply per-word pricing for the excess. Non-standard page sizes may incur additional fees, which will be disclosed before your order is confirmed.
Same-day, expedited, and priority service options are available at a higher rate, as described at checkout. Pricing for add-on services is shown clearly before you complete your order.
5. Payment
Payment is required in full at the time of ordering for all individual customers and for any order totaling less than $1,500. We accept major credit and debit cards, processed securely through Stripe. Your full card number is never stored on our servers.
Business customers placing orders exceeding $1,500 may contact us at support@certifytranslate.org to discuss deferred payment terms. Any delayed payment arrangement is subject to our approval at our sole discretion and will be based in part on the customer's creditworthiness and order history with us.
Customers paying with non-US cards may be subject to currency conversion fees or foreign transaction fees as determined by their card issuer. These fees are outside our control.
If you have an unpaid balance and do not make satisfactory payment arrangements, your account may be referred to a collection agency. You agree to be responsible for any collection fees incurred, which may be up to 35% of the outstanding balance, as well as reasonable legal fees if applicable.
6. Order Acceptance and Cancellation
An order is considered accepted once we have confirmed receipt and assigned it to a translator. Once accepted, orders cannot be cancelled by the customer. If work has not yet begun, you may contact us to request a cancellation and we will review your request at our discretion. See our Refund Policy at certifytranslate.org/refunds for details on refund eligibility based on order status.
We reserve the right to cancel any order at any time. If we cancel your order for any reason within our control, you will receive a full refund of all amounts paid.
7. Order Protection Plan
The Order Protection Plan is an optional add-on available for $9.99 per order, providing the following coverage when purchased:
- Lost or damaged shipments: If your hard copy translation is lost or damaged in transit, we will re-process and reship your order at no additional charge.
- USCIS Request for Evidence (RFE): If your USCIS submission receives an RFE due to a translation error or formatting issue attributable to our work, we will re-process your translation at no additional charge.
- Translation errors after delivery: If a translation error in our work is identified after delivery, we will re-translate the affected content at no additional charge.
The Order Protection Plan fee is non-refundable once an order is submitted. Claims must be submitted within 90 days of original delivery and must include documentation supporting the claim. Coverage applies to re-processing only and does not include monetary compensation. The plan does not cover cases where the customer submitted illegible, incomplete, or fraudulent source documents; selected an incorrect language pair or document type; or made changes to the translated document after delivery.
8. USCIS Acceptance Guarantee
All certified translations we deliver are prepared in compliance with USCIS requirements under 8 CFR 103.2(b)(3). We guarantee that our certified translations will be accepted by USCIS for immigration purposes. If a USCIS submission is rejected due to an error in our translation or certification, we will revise the translation at no additional charge. If a corrected translation is still not accepted by USCIS, we will issue a full refund of your order total.
This guarantee applies to USCIS submissions only. For submissions to courts, universities, foreign government agencies, and other institutions, it is your responsibility to verify that our certified translations meet that institution's specific requirements before placing your order. 9. Notarization Services
Notarization is an optional add-on service. A notarized translation includes a signed and stamped Certification of Translation prepared by a licensed Notary Public, confirming the translator's identity and their attestation that the translation was performed by a qualified professional. Notarization confirms the identity of the signing translator — it does not independently verify the accuracy of the translation itself. Notarized translations are available in all 50 U.S. states. Once a notarization has been completed and signed, the notarization fee is non-refundable.
10. Delivery and Shipping
Estimated turnaround times are provided at checkout and are calculated from the time a translator is assigned to your order, not from the time of payment. These estimates are based on historical performance and are not guaranteed delivery times.
For hard copy deliveries, we ship via USPS and other carriers. The shipping options displayed at checkout are valid for destinations within the United States. International shipping may be available for an additional surcharge, which will be displayed before checkout. Once a package has been handed to a carrier, CertifyTranslate is not liable for delays, loss, or damage caused by the carrier.
Any order placed after 5:00 PM Eastern Time on a Business Day will be treated as having been received the following Business Day for turnaround calculation purposes.
11. Your Responsibilities
You are responsible for submitting clear, legible, and complete source documents. You must also provide accurate information about the purpose of the translation, the target institution (e.g., USCIS, a specific court, a university), and any special requirements. Failure to provide this information may affect our ability to prepare an appropriate translation and may affect your eligibility for refunds or acceptance guarantees.
You represent that you have the legal right to submit any document provided to us for translation and that no document submitted is fraudulent, forged, or intended for use in any unlawful purpose. Submission of fraudulent documents will result in immediate cancellation of your order without refund and may be reported to relevant authorities.
12. Intellectual Property and License
All content on certifytranslate.org — including text, graphics, logos, images, and software — is owned by or licensed to CertifyTranslate and is protected by applicable intellectual property laws. You may not reproduce, copy, distribute, modify, resell, or sublicense any part of our website or service without our express written permission. You may access the website for your own personal or business use, subject to these Terms.
You retain ownership of all source documents you submit. The Work Product we deliver is for your use in connection with the submission purpose you described at the time of ordering.
13. Hyperlinking to Our Website
Government agencies, search engines, news organizations, and businesses may link to our website without prior written approval, provided that any such link is not deceptive, does not falsely imply sponsorship or endorsement, and is appropriate within the context of the linking party's site. We reserve the right to request removal of any link at any time, and any party linking to our site agrees to remove the link promptly upon our request.
14. Confidentiality
We take the confidentiality of your documents seriously. All translators and staff with access to your documents are required to sign non-disclosure agreements. Documents are transmitted and stored using encryption and are accessed only by the translator assigned to your order and our quality assurance team as needed. We do not use your documents to train AI systems or share them with any third party beyond what is necessary to fulfill your order. 15. Prohibited Conduct
When using our website and services, you agree not to: submit fraudulent, forged, or misleading information; upload malicious code or attempt to interfere with our systems; scrape, harvest, or collect information from our platform; impersonate any person or entity; use our services to facilitate any illegal activity; or violate any applicable local, state, national, or international law. We reserve the right to terminate your access for any violation of these conduct standards without notice or refund.
16. Third-Party Links and Tools
Our website may contain links to third-party websites or use third-party tools to help us operate our platform. We are not responsible for the content, practices, or policies of any third-party websites or services. Any interaction you have with a third party is subject to that party's own terms and privacy policy.
17. Disclaimer of Warranties
CertifyTranslate provides its services on a professional best-effort basis. We do not guarantee that our services will be uninterrupted, error-free, or suitable for every specific purpose. Except for the explicit USCIS Acceptance Guarantee described in Section 8, all services are provided without implied warranties of any kind, to the fullest extent permitted by applicable law. Turnaround time estimates are not guarantees.
18. Limitation of Liability
To the maximum extent permitted by law, CertifyTranslate, its owners, employees, contractors, and service providers shall not be liable for any indirect, incidental, consequential, punitive, or special damages arising from your use of our services, including lost profits, immigration processing delays, or decisions made in reliance on our translations. Our total liability for any claim shall not exceed the total amount you paid for the specific order giving rise to the claim.
19. Indemnification
You agree to defend, indemnify, and hold harmless CertifyTranslate and its affiliates, officers, directors, employees, contractors, and service providers from any claims, damages, losses, costs, or expenses — including reasonable legal fees — arising from your use of our services, your breach of these Terms, your submission of fraudulent or unlawful documents, or your violation of any third-party rights. If CertifyTranslate is required to testify, respond to legal proceedings, or produce records in connection with any Work Product prepared for you, you agree to reimburse us for all related costs and expenses at a rate of $500 per hour for staff time, plus all out-of-pocket costs.
20. Severability
If any provision of these Terms is found to be invalid or unenforceable under applicable law, that provision will be modified to the minimum extent necessary to make it enforceable, or severed entirely if modification is not possible. All remaining provisions will continue in full force and effect.
21. Termination
You may stop using our services at any time. We may suspend or terminate your access to our services if you violate these Terms, engage in fraudulent activity, or for any other reason at our discretion. Any obligations that arose before termination — including outstanding payments or pending orders — survive termination.
22. Entire Agreement
These Terms, together with our Refund Policy and Privacy Policy, constitute the entire agreement between you and CertifyTranslate regarding your use of our services. They supersede all prior agreements and understandings between you and us on this subject. These Terms may not be modified except in writing signed by both parties.
23. Governing Law and Disputes
These Terms are governed by and construed in accordance with the laws of the State of Florida, United States, without regard to conflict of law principles. Any disputes arising from these Terms or your use of our services shall first be addressed through good-faith negotiation. If unresolved, disputes shall be submitted to binding arbitration or the appropriate courts of the State of Florida.
24. Assignment
You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign our rights and obligations freely, including in connection with a merger, acquisition, or sale of assets.
25. Changes to These Terms
We may update these Terms at any time by posting a revised version on our website with an updated date. Your continued use of our services after changes are posted constitutes acceptance of the revised Terms. We encourage you to review this page periodically.
