Order and Account Information
When you place an order, request a quote, or create an account, we collect the personal information you provide directly, including: your full name, email address, phone number, billing address, and shipping address (for hard copy orders). Payment card details are submitted directly to Stripe, our payment processor — we never store your full card number on our servers.
Uploaded Documents
To provide translation services, you upload documents to our platform. These documents may contain sensitive personal information, including immigration records, legal documents, medical records, and government-issued identification. We treat uploaded documents with the highest level of confidentiality. See the Document Confidentiality section below.
Communication Data
If you contact us by email, phone, or through our website, we collect the content of those communications, including your name, contact information, and the details of your inquiry, in order to respond to you and maintain our customer records.
2. How We Use Your Information
We use the information we collect for the following purposes:
- Service fulfillment: Processing your payment, assigning a qualified translator, delivering your translation, and communicating with you about your order.
- Customer support: Responding to questions, handling revision requests, processing refund claims, and resolving order issues.
- Fraud prevention and security: Reviewing orders and account activity for signs of fraud or misuse, including analyzing IP addresses and payment patterns.
- Site improvement: Understanding how visitors use our website so we can improve the experience, fix technical problems, and optimize our services.
- Marketing: Sending information about our services, promotions, or updates to customers who have opted in. You may unsubscribe at any time.
- Legal compliance: Meeting our obligations under applicable laws and responding to lawful requests from government authorities.

3. Document Confidentiality
We understand that many documents submitted to us are deeply personal and sensitive. We take the following measures to protect your documents:
- All documents are transmitted using TLS encryption and stored in encrypted form.
- Documents are accessible only to the specific translator assigned to your order and our quality assurance team as needed.
- All translators and staff with access to customer documents are required to sign non-disclosure agreements.
- We do not use your documents for any purpose other than completing your translation order.
- We do not use your documents to train AI systems, sell document data, or share document contents with any third party beyond what is necessary to fulfill your order.
- Documents are removed from our active storage systems after your order is complete and the standard review period has passed, unless you maintain an active account retaining order history.
4. Who We Share Your Information With
We do not sell your personal information. We share your information only as necessary to operate our business:
- Translators: Translators assigned to your order receive access to your documents and order details. All are bound by non-disclosure agreements.
- Stripe (payment processing): Stripe receives payment card details directly and processes transactions on our behalf. See stripe.com/privacy.
- Shipping carriers: For hard copy orders, we share your name and shipping address with USPS or other carriers.
- Google Analytics: We use Google Analytics to understand site usage. Google receives anonymized usage data. Opt out at tools.google.com/dlpage/gaoptout.
- Google Ads and Microsoft Advertising: These platforms may use cookies and anonymized device data to serve relevant ads. See google.com/settings/ads and account.microsoft.com/privacy to manage preferences.
- Email marketing platforms: We may use third-party email platforms to send order confirmations, updates, and marketing communications to customers who have opted in.
- CRM platforms: We use customer relationship management tools to track interactions and manage customer accounts.
- Collection agencies: If you have an unpaid balance that cannot be resolved directly, we may share your contact and account information with a third-party collection agency.
- Legal disclosures: We may disclose your information when required by law, court order, or government authority, or to protect the rights, property, or safety of CertifyTranslate, our customers, or others.
- Business transfers: In the event of a merger, acquisition, or sale of assets, your personal information may be transferred as part of that transaction. The acquiring entity will be bound by this Privacy Policy.
- Data Sharing
- Customer data is not shared with 3rd parties for promotional or marketing purposes.
- Mobile opt-in and consent are never shared with anyonef or any purpose. Any information sharing that may be mentioned elsewhere in this policy excludes mobile opt-in data.
- Fireback LLC Messaging Terms and Conditions
- 1. The messaging program consists of general conversational messaging to answers questions and provide support to customers.
- 2. You can cancel the SMS service at any time. Just text 'STOP' to the phone number from which you recieved messages. After you send the SMS message 'STOP' to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer recieve SMS messages from us. If you want to join again, just sign up as you did the first time and we will start sending SMS messages to you again.
- 3. IF you are experiencing issues with the messaging program you can reply with the keyword HELP for more assistance, or you can get help directly at support@certifytranslate.org.
- 4. Carries are not liable for delayed or undelivered messages.
- 5. As always, messsage and data rates may apply for any messages sent to you from us and to us from you. Message frequency will vary based on communication needs. If you have any questions about your text plan or data plan, it is best to contact your wireless provider.

5. Cookies and Tracking Technologies
Our website uses the following tracking technologies:
